- What is slow, manual or missing? Describe the one thing that annoys you most.
- How does it work today? Who does it, in which tool, and how often.
- Your tools. Phone system, email, calendar or booking, invoicing, CRM, spreadsheets.
- Who answers calls and messages, and what happens when nobody can.
- One rough count: missed calls, unanswered quotes or retyped forms in a typical week.
- Sensitive data. Whether health, financial or other regulated information is involved.
- Who will own the result on your side and answer questions during the build.
What a good consultant does with it

What you do not need
- A finished spec or technical vocabulary.
- A budget figure before you have seen a scope.
- Every login. Hold credentials back until you have agreed to work together.
